As a Structural Heart Coordinator on this team, you will be an integral part of the patient's Banner experience looking to provide each person with the best customer service and patient care, handling prior authorization process for procedures, follow up calls with insurance companies of pending prior auth, scheduling follow up post procedures, follow up lab results, proposing labs, effective communication with patient surgery scheduling, collaboration with partnered outside facilities. Experience with Cardology Surgery Scheduling; Structural/Interventional. This is a full time (40 hours/week), day shift position: Monday - Friday 800A-4:30P

Additionally, the campus responsibilities include fully integrated multi-specialty and sub-specialty clinics, and with a new $400 million campus investment, a new patient tower and 2 new clinic buildings will be built.

Position SummaryThis position coordinates the Valve clinical program and ensures processes are in place to meet regulatory requirements. It assures smooth operations and patient flow for the clinical activities of cardiology services specific to heart valve and heart valve devices (TAVR). Coordinates and collaborates with a multidisciplinary team to ensure all patient and family needs are met. This position also schedules structural heart surgeries and procedures as well as scheduling/coordinating all pre- and post-op imaging, testing and appointments.

Core Functions

  • Coordinates diagnostic work up and care of defined population-valve patients including pre- and post-diagnostics. Assists in scheduling multiple appointments, utilizing the scheduling systems to ensure thorough communication across multiple disciplines.
  • Performs patient tracking for TVT registry to assure that data related to valve patients is reported accurately and appropriately to meet regulations and use in quality improvement. Abstracts core information from patient medical records including demographics, diagnostic procedures and treatment. Contacts referring hospitals, clinics and physicians as needed to assure accurate data. Participates in and coordinates case selection of defined population using defined guidelines. Ensures confidentiality of registry and patient files.
  • Attends and participates in department meetings and is accountable for all information shared. Works collaboratively with hospital structural heart team to ensure registry is maintained and information is available to internal and external customers as needed.
  • Schedules structural heart procedures using a computerized scheduling system. Verifies and reviews physician privilege status prior to scheduling. Interfaces with medical staff office to maintain log of current privilege status and maintains confidentially of all information. May acquire and maintain physician preference information and staff roster.
  • Types and prints physician orders for multiple physicians and departments. Schedules and maintains physician block time, and block time releases. Enters physician’s orders for lab, medical imaging, and cardiology. Enters results of diagnostic tests, patient registration information and patient charges. Compiles data and prepares statistical reports for management.
  • Obtains prior authorization and verifies insurance eligibility for procedures scheduled. Acquires patient history and physicals, results of laboratory tests and verifies that they are current. Orders previous medical records for the day of the procedure, when necessary.
  • Supports the administration and leadership of multiple physician offices, assigned outpatient facilities and staff in achieving institution-wide and specific initiatives which support strategic goals.
  • This position has responsibility for scheduling elective, urgent or emergent surgeries and procedures and maintaining a smooth workflow in the area. Must be able to work with minimal supervision, under stressful situations, set priorities and maintain highly confidential information.

Minimum QualificationsHigh School diploma/GED or equivalent working knowledge.

Requires skills and abilities typically attained with 2 years of related experience in Cardiology in addition to 2 years of medical clerical experience; preferably in a hospital central scheduling or physician office scheduling setting. Knowledge of medical terminology is required. Also requires knowledge of payor contract terms and processes.

Must possess excellent organizational skills, as well as effective human relations and communication skills. Requires effective teamworking skills and the ability to meet deadlines and productivity standards.

The position requires knowledge of word processing and spreadsheet software and the ability to use computerized scheduling systems. Must possess the ability to maintain accurate statistical records, gather data, and produce reports.

Preferred QualificationsAssociate’s Degree in Healthcare or related field.

Experience with Prior Authorization, Structural Heart Program Development and Management.
